Key Responsibilities:
- Tender and Proposal Development:
- Develop compelling, accurate, and well-structured responses to RFPs, RFQs, RFIs, and EOIs.
- Ensure proposals comply with tender specifications, submission guidelines, and eligibility criteria.
- Bid Planning and Coordination:
- Collaborate with internal departments (Finance, Legal, HR, Programmes) to gather content and supporting documentation.
- Lead bid planning meetings and assign writing and review responsibilities.
- Content Management:
- Maintain and update a centralized bid content library (company profile, project references, CVs, capability statements).
- Tailor standard content to reflect client-specific needs and the scope of each opportunity.
- Editing and Quality Assurance:
- Proofread and edit all bid documents for grammar, tone, clarity, compliance, and persuasiveness.
- Ensure consistent formatting, branding, and professional presentation in line with SayPro guidelines.
- Market Intelligence and Reporting:
- Monitor tender portals and procurement bulletins to identify opportunities aligned with SayPro services.
- Contribute to monthly reports such as SayPro Monthly January SCMR-1 and quarterly performance reviews.
- Submission Management:
- Ensure on-time submission of bids electronically or in hard copy format.
- Track submission outcomes, debriefs, and maintain bid status logs.
Skills and Qualifications Required:
- Writing and Editing Excellence:
- Advanced command of English with outstanding written communication skills.
- Proven experience writing bids, tenders, proposals, and technical documents.
- Understanding of Bid Writing Frameworks:
- Familiarity with public procurement processes in South Africa and internationally.
- Understanding of SCM (Supply Chain Management) policies, PPPFA, and B-BBEE compliance.
- Project and Document Management:
- Ability to manage multiple concurrent bids under tight deadlines.
- Skilled in MS Word, Excel, PowerPoint, and PDF editing tools; experience with proposal automation platforms is a plus.
- Strategic and Analytical Thinking:
- Ability to interpret complex bid documents and translate them into compliant, persuasive responses.
- Strong attention to detail and ability to synthesize technical and operational input.
- Interpersonal and Collaboration Skills:
- Confident communicator who works well in cross-functional teams.
- Capable of leading bid kick-off meetings and liaising with senior stakeholders.
Performance Metrics (as per SCMR-1 and Quarterly Review):
- Bid win rate and qualification rate
- Number of bids submitted per quarter
- Quality assurance and compliance score (internal review)
- Timeliness of submission
- Stakeholder satisfaction rating
