Key Responsibilities:
1. Proposal Management and Submission:
- Coordinate the end-to-end process of preparing, reviewing, and submitting bids, tenders, quotations, and proposals.
- Track and manage submission timelines and deadlines using SayPro’s project management and procurement systems.
- Liaise with internal teams (Finance, Legal, Technical, etc.) to gather required input for each proposal.
- Ensure timely submission of all bid documents in accordance with client specifications and SayPro procurement policies.
2. Content Development and Optimization:
- Write compelling, compliant, and tailored proposals that meet the specific requirements of each tender.
- Analyze tender documentation and extract key requirements to guide content structure.
- Optimize content quality, structure, and layout using SayPro’s approved bid templates and style guides.
- Incorporate value propositions, win themes, and differentiators that align with SayPro’s mission and services.
3. Compliance and Quality Assurance:
- Ensure that all bids adhere to regulatory, technical, and contractual requirements as set out in the SCMR-1 standards.
- Conduct quality control checks and peer reviews to eliminate inconsistencies, errors, and non-compliance.
- Maintain bid records and audit trails in accordance with SayPro’s document management procedures.
4. Strategic Input and Continuous Improvement:
- Analyze feedback from previous bid outcomes and integrate learnings into future proposals.
- Monitor trends in tender writing, government procurement, and public sector contracting to maintain cutting-edge practices.
- Contribute to quarterly reviews and performance audits of the Bid and Tender Office, feeding into the Quarterly Bid and Tender Writing Services reports.
5. Collaboration and Stakeholder Engagement:
- Build and maintain productive relationships with procurement officers, clients, and strategic partners.
- Support SayPro departments in understanding tender requirements and contributing effectively to proposal content.
- Provide coaching and training to junior bid writers or subject matter experts contributing to proposals.

- SayPro Monthly January SCMR-1: Provides procedural and compliance guidelines for monthly tender writing activities, including documentation templates and quality assurance checklists.
- SayPro Quarterly Bid and Tender Writing Services Framework: Outlines quarterly targets, performance metrics, and review processes for continuous improvement in bid writing services.
Key Skills and Competencies:
- Strong technical writing and editing skills
- Familiarity with public and private sector procurement processes
- Attention to detail and ability to manage multiple bids simultaneously
- Knowledge of compliance, legal, and financial bid requirements
- Proficiency in MS Office Suite and tender management software (e.g., TenderTracker, Salesforce, etc.)
- Excellent communication and interpersonal skills
Qualifications:
- Bachelor’s degree in Business, Communications, Public Administration, or related field
- 3+ years of experience in bid and tender writing, preferably in a development, NGO, or consulting environment
- Certification in proposal writing, procurement, or project management (preferred)
