Core Responsibilities:

1. Client Needs Analysis and Research

  • Conduct in-depth research to understand each client’s operational context, procurement objectives, and industry standards.
  • Analyze Request for Proposals (RFPs), Invitations to Tender (ITTs), Expressions of Interest (EOIs), and other bid documentation to extract key compliance and evaluation criteria.
  • Liaise with internal departments, technical teams, and project managers to gather relevant inputs required for accurate and persuasive proposal writing.

2. Tender Writing and Proposal Development

  • Lead the drafting, reviewing, and finalization of tender submissions, ensuring they meet all specified guidelines, technical standards, and deadlines.
  • Structure proposals by aligning SayPro’s services and strengths to the client’s needs as defined in the bid documents.
  • Draft cover letters, executive summaries, technical approaches, methodology sections, capability statements, and budget breakdowns.
  • Maintain a library of standardized content, technical inserts, and compliance checklists sourced from the SayPro Monthly January SCMR-1 and updated quarterly templates.

3. Use of SayPro Monthly January SCMR-1 for Content Structuring

  • Utilize the SayPro Monthly January SCMR-1 as a foundation for creating customized proposals, adapting its pre-drafted service descriptions, case studies, CVs, and past performance summaries.
  • Extract and tailor sector-specific templates, pricing models, and scope descriptions to ensure submissions are aligned with client requirements.
  • Ensure consistency of terminology, branding, and tone across all bid documents using SCMR-1 as the reference guide.

4. Quality Assurance and Compliance

  • Perform final quality checks to ensure all submissions are compliant with technical and administrative requirements.
  • Conduct internal audits against tender specifications using the SCMR-1-based compliance matrix.
  • Ensure timely submission of bids in both physical and electronic formats, coordinating with relevant procurement platforms and SayPro logistics teams.

5. Reporting and Continuous Improvement

  • Provide feedback and post-bid analysis to improve future tender success rates.
  • Contribute to quarterly review meetings on tender performance, win/loss analysis, and content effectiveness.
  • Update the SCMR-1 and related tender content database based on new client feedback and evolving sector requirements.
