Detailed Responsibilities:
1. Client Engagement and Requirements Gathering
- Act as the primary liaison between SayPro’s proposal writing team and external clients to understand specific procurement needs, project goals, and bid expectations.
- Facilitate kickoff meetings, briefings, and interviews with client representatives to clarify proposal scope, technical deliverables, timelines, and mandatory documentation.
- Translate client input into actionable writing briefs by aligning it with existing service models outlined in the SayPro Monthly January SCMR-1.
2. Internal Coordination with SayPro Teams
- Collaborate with internal subject matter experts (SMEs), service delivery managers, finance, legal, and compliance officers to obtain accurate, up-to-date, and relevant proposal inputs.
- Coordinate with project management and operations teams to validate resource availability, delivery timelines, and previous project performance data.
- Ensure all internal contributions align with the templates and content standards established in the SayPro Quarterly Bid and Tender Writing Services manual.
3. Content Sourcing from SCMR-1 Repository
- Access and navigate the SayPro Monthly January SCMR-1 documentation to extract essential components such as:
- Standard service descriptions
- Project case studies
- Team profiles and CVs
- Work methodology and implementation plans
- Pricing frameworks and financial models
- Customize and update these components to fit specific client requests and tender criteria while maintaining SayPro’s corporate voice and formatting guidelines.
4. Information Validation and Gap Identification
- Identify information gaps between client needs and available internal data or SCMR-1 templates, and proactively coordinate follow-up engagements to fill them.
- Ensure that all proposal sections are supported by verified data, credentials, and references to past performance when applicable.
- Use the SCMR-1 as a quality benchmark to cross-check technical compliance and alignment with sector best practices.
5. Collaboration-Driven Proposal Assembly
- Compile all gathered materials into a cohesive, logically structured proposal that clearly reflects both client objectives and SayPro’s service capabilities.
- Coordinate feedback loops between clients, SMEs, and compliance reviewers to refine content before submission.
- Manage version control and documentation of all draft iterations using SCMR-1-aligned naming conventions and tracking tools.
6. Documentation and Process Improvement
- Document lessons learned from each collaboration to enhance future tender development processes and improve the utility of the SCMR-1 repository.
- Contribute to quarterly updates of SayPro’s bid-writing knowledge base by suggesting new templates, sector-specific content, or formatting improvements based on client interactions.
