SayPro Data Entry for January Government Donations
Objective: After all necessary documents are collected, employees will enter the relevant data into SayPro’s system for accurate record-keeping, tracking, and reporting.
Step 1: Data Entry of Government Donor Information
Employees will enter key details into SayPro for each government donation received during January. The following information must be entered:
- Government Donor Information:
- Name of Government Agency or Department: Enter the full name of the government agency or department that made the donation. This should match the name as it appears in official correspondence and reports.
- Example: Department of Health and Human Services, U.S. Department of Education, State of New York Office of the Governor.

- Donation Amount:
- Enter the total donation amount as stated in the correspondence or the Monthly January List of Government Donors Report.
- Example: $500,000.

- Record the date the donation was confirmed or the date of the relevant correspondence (email, letter, etc.).

- Donation Purpose or Earmarks:

- Ensure that all data entered into SayPro matches the details from the collected documents (e.g., donor name, donation amount, dates).
- Confirm that the purpose, conditions, or earmarks of each donation are accurately recorded.
- Ensure Completeness:
- Double-check that no required fields are missing or incomplete. This includes verifying the entry of donor information, donation amounts, dates, and any conditions or earmarks.
Step 4: Final Review and Submission
Once the data has been entered, employees should review the entire dataset for accuracy and completeness. After verification, submit the data for final review by the designated supervisor or department for approval.
